Notion Hidden Fees Exposed (2026) — What $10/mo Really Costs
Notion is the beloved all-in-one workspace — notes, docs, databases, wikis. The $10/member/mo Plus plan looks affordable. But AI credit costs, automation feature gates, per-member multiplication, and API paywalls push the real cost to 3-9x the advertised price.

The 6 Hidden Fees Nobody Warns You About
AI Credits Are a Separate Add-On
Cost: $10 per 1,000 credits (usage-based)
Notion AI (Custom Agents, writing assistance, summarization) is NOT included in any plan. It's a usage-based add-on at $10 per 1,000 credits. There is no public documentation on exactly how many credits each AI action costs, making it impossible to budget accurately. Teams using AI features for writing, meeting notes, or database queries can easily spend $20-50+/member/mo on AI credits alone — doubling or tripling their base subscription cost.

Custom Automation Feature Gate
Cost: 100% price jump ($10 → $20/member)
This is the sneakiest fee. The Plus plan ($10/member/mo) only includes 'button-only automations' — manually triggered actions. Custom database automations (triggered automations, scheduled automations, conditional workflows) require Business at $20/member/mo. This distinction is buried in the comparison table, not shown on the main pricing cards. For a 5-person team, needing automated workflows means jumping from $50/mo to $100/mo — a 100% increase.

Per-Member Cost Multiplication
Cost: $10-20 per member, adds up fast
Like most modern SaaS, Notion charges per member with edit access. The $10/mo headline price is per person. A 10-person team on Plus = $100/mo, not $10/mo. On Business = $200/mo. Guest access is free (unlimited on paid plans), but any team member who needs to edit pays full price. There's no discounted viewer or commenter tier.

API Access Requires Plus
Cost: $10/member/mo minimum for integrations
Notion's API and webhooks are NOT available on the Free plan. Any team wanting to integrate Notion with other tools (Zapier, Make, custom scripts, Slack integrations) must upgrade to Plus ($10/member/mo) at minimum. For a single developer building an integration, this means $10/mo minimum. For a team of 5 that needs API access, that's $50/mo just to enable integrations.

Page History Limits
Cost: Indirect — data loss risk
Version history is severely limited by plan: Free gets 7 days, Plus gets 30 days, Business gets 90 days. Only Enterprise gets unlimited history. Accidental deletions or edits beyond the history window are PERMANENT. For teams using Notion as their knowledge base or wiki, losing the ability to recover changes older than 30 days is a real risk. The 'unlimited history' feature alone forces many teams to Enterprise.

5MB File Upload on Free
Cost: Forces immediate upgrade for normal use
The Free plan limits file uploads to 5MB per file. A single high-resolution image, PDF document, or presentation exceeds this. Any team sharing documents, design assets, or meeting recordings needs Plus at minimum. This isn't a hidden fee per se, but it makes the Free plan nearly unusable for professional teams, making the 'free' pricing misleading.

Real Cost Example: 5-Person Startup
// Startup: 5 members, Business plan (need automations), using AI
Business plan (5 x $20): $100.00
AI credits (moderate usage, ~3K credits): +$30.00
True monthly cost: $130.00/mo
vs $10/mo advertised (per member) = $26/member/mo actual
vs $10 headline = 13x surprise if you expected flat $10
Cost Saving Tips
Cost Saving Tip
- • Stay on Plus ($10/member/mo) unless you absolutely need scheduled/triggered automations — button automations cover many use cases
- • Monitor AI credit usage closely — set team guidelines for when to use AI features vs manual work
- • Use guest access (free on paid plans) for contractors and clients instead of adding them as members
- • For docs-only teams: Google Docs + Notion Free may be more cost-effective than Notion Plus for everyone
- • Consider Obsidian (free for personal use) or Coda for teams that need automation without the Business tier
